Follow up an access link

Use this journey to see where a request stands, send the link again, cancel it, and keep WhatsApp consents in order.

Before you start

  • You are signed in with the administrator or technical team profile, and Send & Collect › Access Links appears in the Portal menu.
  • The link was created; see Send an access link.

Steps

  1. Open Send & Collect › Access Links. The Magic Links page lists every link of your company, 10 per page (Previous / Next).
  2. Narrow the list with the filters: Name (Search by name...), Form (or All Forms), Start Date and End Date (creation date), and Status. Select a column header to sort by it.
  3. Read the row: name and e-mail, form, Created at, Last Access, Accesses, Channel and Status. The statuses are explained in the Portal overview.
  4. Select the name to open the link's details:
    • Recipient — name, CPF, e-mail and phone.
    • Access Data — Created at, Expires at, First access, Last access and Total accesses (with the maximum, when set).
    • Sending — Channel, Sent at and your Notes.
    • Access Log — every recorded event, with Date/Time, IP, Action (View, Resend, Revoke; reject-notify when the recipient was asked to correct documents) and User-Agent. IP addresses and browser details are recorded masked. Uploads are not listed here.
  5. Select Back to return to the list with your filters.

When the recipient confirms the documents, the status becomes Docs Completed. If the form is bound to a workflow, the review continues there: see Track a document's state and routing.

Use this when the person did not receive the link, lost it, or needs it on another channel. Each resend creates a new link: the previous one stops working.

  1. On the list, select the resend button on the row; or, on the details page, select Resend. The button is not offered for a Revoked link, nor on the details page of an expired one.
  2. In Resend Magic Link, choose the Sending Channel: Email, SMS or WhatsApp.
  3. Select Resend (on the list) or Confirm (on the details page). Resent successfully! confirms that the new link was delivered, and Sent at shows the new time.
  1. On the list, select the revoke button on the row; or, on the details page, select Revoke.
  2. Confirm. The list asks Revoke the Magic Link for "…"? This action cannot be undone.; the details page asks Revoke this Magic Link? It can no longer be accessed. Magic Link revoked successfully. confirms it. The status becomes Revoked, and the row keeps only the delete button. A recipient who had already opened the link sees Link Cancelled; so does one who opens it for the first time.

Revoking cannot be undone. To ask the same person again, create a new link.

  1. On the list, select the delete button on the row.
  2. Confirm Are you sure you want to delete this Magic Link?. Magic Link deleted. confirms it, and the link leaves the list.

Manage WhatsApp consents

  1. On the Magic Links page, select WhatsApp consents (shown only to company administrators). The page lists who authorised your company to message them on WhatsApp, and where the proof lives.
  2. Search by number, proof or who recorded it, and filter by Status: Granted or Revoked. A number marked Opted out asked to stop receiving messages — The recipient asked to stop — support only.
  3. To stop messaging a number, select Revoke on its row and confirm Stop sending WhatsApp messages to …?.
  4. To record many consents at once, select Import CSV and choose a file with the columns phone, source, evidenceText[,collectedWhen], numbers in international format (for example +5561999990000). Fill collectedWhen with the date the consent was given; without it, the consent date is the import date.

Ask for support about a request

Where support requests are available, the details page offers Request support about this process, which opens a new support request linked to this link; see Ask your company for support.

Expected result

You know the status of each request, and every person who still has to answer holds a working link — or their link is cancelled.

How to confirm it worked

  • After a resend: the Access Log shows a new Resend entry.
  • After revoking: the status is Revoked and the resend and revoke buttons are gone.
