Follow up an envelope

Use this journey to see who still has to sign, to send the signing link again, and to follow the signature requests raised by Workflow.

Before you start

Steps

See who still has to sign

  1. On the Dashboard, select Awaiting signatures. The Envelopes page opens showing only envelopes in Running. Select All envelopes instead to see every envelope.
  2. Each row shows the envelope name, its signers and their e-mail addresses (in signing order), and the status badge.
  3. To look at the documents without leaving the list, select the preview icon at the end of the row. The preview shows the documents, the jurisdiction, signature level, language, the Sent, Expires and Finished dates, each signer's status, and the sealed document hash once the envelope is finished. Select Close to return.
  4. Select the envelope name to open the envelope page. Each signer is listed with their status:
Signer statusMeaning
PendingHas not opened the link yet
ViewedOpened the link
OTP requestedAsked for the one-time code
Identity verifiedEntered the code; can now sign or decline
SignedSigned
RefusedDeclined to sign

Send a reminder

Use this when a signer did not receive the link, deleted it, or has not answered.

  1. Open the envelope page. Send reminder is shown only while the envelope is Running and at least one signer has not answered.
  2. Select Send reminder. The Send a reminder? dialog lists the pending signers: The signing link will be sent again to … pending signer(s): …
  3. Select Send reminder in the dialog.

Only signers who have not answered yet receive the reminder. Each reminder carries a new link; links sent earlier and not yet used keep working.

Follow a case raised by Workflow

  1. In the menu, select Cases. Each row is one case — one Workflow run that raised signature requests — with its name and reference, how many requests are signed (for example 1/2), how many were not completed, the status and the last activity.
  2. Select a case. The case page shows its Reference, Raised by (the system that raised it), Still to sign (every signer, across the case, who has not signed yet) and the list of Signature requests, each with its documents, send date, status and signers.
  3. Select Open envelope on a request to open its envelope page — for example to send a reminder.

Expected result

  • After a reminder, the page confirms Reminder sent to 1 signer. (or the number of signers), and the pending signers receive a new e-mail.
  • A case reads In progress while any request is still out, Signed when every request is signed, and Not completed when nothing is outstanding and at least one request was refused, expired or cancelled.

How to confirm it worked

  • Reload the envelope page later: the signer's status moves from Pending to Viewed, Identity verified and finally Signed.
  • When every signer has signed, the envelope shows Finished; on the case page the request says The signed package is available.

Automatic reminders and expiry

Envelopes raised by Workflow can carry an automatic reminder (sent once, a set number of days after sending) and an expiry date; both are set by the workflow, not in Sign. An envelope past its expiry date moves to Expired. Envelopes created in Sign have neither: use Send reminder to chase a signer.

Observed on 2026-10-18 in DEV: a case raised by a synthetic workflow in Cases and on its case page, before and after its only signer signed. Send reminder was not walked.
